POSITION : Executive Assistant to Consul General
CLOSING DATE: Thursday, 21 January 2016, 4:00 pm.
WORK HOURS: Full-time; 37.5 hours Monday to Friday
STARTING SALARY: INR 53,439
The Australian Consulate General, Chennai, is seeking applications for the position of Executive Assistant to the Consul General.

Any employment at the Consulate General is offered subject to the successful completion of pre-employment Police and medical checks. Engagement will also be subject to the satisfactory completion of a probationary period of six (6) months.
The salary package includes annual leave, medical and accident insurance, Diwali bonus and provident fund provisions.

JOB DESCRIPTION
Executive Assistant to the Consul-General
Under the direction of the Consul-General, as part of the policy team, the Executive Assistant will:
1. Manage the Consul-General’s diary, including making appointments and scheduling meetings;
2. Develop a wide range of contacts that facilitate securing senior appointments as and when required;
3. Maintain a post contacts database;
4. Assist with maintaining coordination between posts and with Austrade, including by preparation and distribution of a weekly visits and activities program;
5. Draft correspondence for the Consul-General and provide other secretarial assistance;
6. Organise the Consul-General’s official hospitality, including invitations, bookings and menus;
7. Maintain the Consul-General’s representation records;
8. Organise and draft programs and make associated arrangements for official visitors to south India, and for the Consul-General’s official visits outside of Chennai;
9. Provide executive assistant support to the Charge’ in the Consul-General’s absence;
10. Other duties as directed.
SELECTION CRITERIA
EXECUTIVE ASSISTANT TO THE CONSUL-GENERAL
All applicants must make their claims in writing, with reference to the above duties, against the following selection criteria:
1. High level organisational and interpersonal skills. Demonstrate experience in maintaining the appointments schedule of senior executives and developing forward planning programs.
2. Experience in providing a high quality client service. Demonstrated experience in planning, scheduling and executing the travel and accommodation arrangements of senior executives and visitors.
3. High level written and spoken English communication skills. Proven experience in drafting correspondence in English. Courteous verbal communication skills in English and Tamil. A working knowledge of Tamil, Kannada, Malayalam and Telugu would be an advantage.
4. Experience in undertaking clerical duties in an office environment, including advanced computer proficiency in MS Office and database management, and superior internet skills.
5. Proven ability to be flexible and to work productively in a team. Ability to take initiative, set priorities, respond to challenges and adapt to different work environments as a member of a small team with changing priorities and focus.
